Job summary

We are looking for an experienced and motivated Talent Acquisition Administrator to provide essential coordination and administrative support to the Talent Acquisition Manager, ensuring the smooth running of recruitment processes and related People operations as we approach our next exciting period of growth to help deliver our plans.

As a key member of our team, this role involves managing documentation, scheduling, data entry, candidate communication, and general administration. It requires exceptional organisational skills, attention to detail, and the ability to work efficiently in a fast paced, confidential environment.

This role is temporary with a proposed end date of December 2026, although there is potential for this to be extended. We see this as being full time but we are happy to consider part time or flexible working. Ideally, we would like this role to be based in Edinburgh on a hybrid basis, to allow for regular interaction with the teams responsible for Product Management, Customer delivery and operations, Finance, Business Development and Sales and Marketing.

What you will do

As a member of the People & Workplace team, reporting to the Talent Acquisition Manager, your key responsibilities would be:

  • Schedule interviews, assessments, and meetings with candidates and hiring managers.
  • Manage candidate communication, including sending invitations, confirmations, and follow-up messages.
  • Maintain and update the applicant tracking system with accurate candidate information.
  • Assist with drafting and posting job advertisements across various platforms.
  • Support the TA Manager with proactive talent pipeline building (e.g., managing talent pools, organising recruitment events, arranging networking sessions).
  • Prepare paperwork for offers, contracts, and onboarding where required.
  • Prepare reports, presentations, and documentation relating to recruitment activity and metrics.
  • Support the coordination of the annual salary benchmarking process (e.g., data collation and file organisation).
  • Maintain a well organised digital filing system for recruitment documentation.
  • Ensure timely, professional, and positive communication with all candidates and internal stakeholders.
  • Support hiring managers by providing guidance on scheduling, documentation requirements, and process steps.
  • Act as a friendly and reliable point of contact for candidates throughout the recruitment journey.

  • Previous recruitment administrative experience in a fast‑paced environment.
  • Strong organisational skills and the ability to manage multiple competing priorities.
  • Proficiency using Microsoft Office (Word, Excel, Outlook, Teams).
